Time Tracking in Work Schedules

If the following conditions are met:

  • The Project module is active for the organization.
  • The Agreements module is active for the organization.
  • The employee is an active user with an assigned work schedule. Then the Work Schedule and Time Tracking features are integrated.

This means the user will be able to log their working hours directly within the "Work Time" item, alongside viewing their work schedule. If the Holiday Management module is active for your organization, all approved holidays will be seamlessly integrated into the calendar view and displayed in dedicated day cell. When you hover your cursor over a holiday badge, additional holiday information, such as dates and duration, will be displayed. Bank holidays will also automatically appear in the calendar (if not ignored for your schedule).

Log time with Work Schedule and Time Tracking features integrated:

  1. Navigate to Work Time item from the main menu
  2. Hover over the time slot you wish to fill.
  3. A "Log Task" option will appear, allowing you to enter your logged hours.
  4. Click on Log task option (use drag-and-drop functionality to quickly log time by dragging the selected time slot)
  5. A form will appear for creating a new time entry with the following fields to be filled out:
  • Project: A dropdown list of projects assigned to the employee will be displayed.
  • Time Start: Select or enter the start time with 1-minute precision. Instead of choosing from the list, employee can put specific value directly into input.
  • Time End: Select or enter the end time with 1-minute precision. Instead of choosing from the list, employee can put specific value directly into input.

Note: The time selected using drag-and-drop functionality will be prefilled in the form. You can adjust these times if needed.

  • Description: Provide a description of the work done (minimum 32 characters).
  1. Click "Log Time" button to save your entry.

After saving, the logged time will appear in the calendar. The project name and the total time logged are visible in logged time slot. When you hover over an already logged time slot, you will see the description provided for that time entry.

You can also edit any time entry by simply clicking on the log time entry you want to modify, making the necessary changes, and saving them.

Near the "Save" button, you will see the Bin icon. Clicking this icon will allow you to remove the entire time entry after additional confirmation.

Below the calendar view there’s a bar displaying the following information:

  • Planned Hours: The total number of hours planned to be logged per week.
  • Holidays: The total number of approved holiday hours.
  • To Be Filled: The total left number of hours expected to be logged by the end of the week.
  • Logged Hours: The total number of hours that have been logged so far.

Once the sum of Logged hours and Holidays exceeds the To be filled value, it changes to Overtime and is highlighted in red.
