Work Schedule Planner

The Work Schedule Planner is a tab within Work Schedules that enables managers to easily review all employees along with their assigned schedules. The dynamic calendar provides a clear visual overview, allowing users to navigate through past, current, and future weeks, making the planning process intuitive. You can view schedules for any desired period and quickly return to the current week by clicking the "Today" button. The current period always starts from Monday of the ongoing week, with the current day highlighted for easier navigation.

In the planner view, you will see day cells displaying the schedule range for each employee. The first day of the schedule is marked by a bold vertical line, which is particularly helpful for non-standard work patterns like 2/2 shifts. Days off are highlighted with a shaded background for easy identification. Past days have slightly darker background and are not editable.

In the planner view, you can start or finish a schedule for an employee. Each day cell (except past days) is clickable. If an active schedule exists for the selected day, clicking the day tile will display modal with the schedule information and give you options to:

  • Finish the assigned schedule;
  • Reassign a new schedule;
  • Change the active period for the current schedule;
  • Create an exception.

If no active schedule exists for the clicked day tile, you will only have the option to assign a new schedule by selecting one from the list.

Note: "Date to" is not required, and if not provided, the schedule will be configured as endless.

Note: Scheduling cannot be planned in the past.

All changes made inside the planner view will be automatically reflected and visible for the employee in the Work Time item from the main menu.

Exceptions

If an employee already has an active schedule, you can create exceptions to the schedule. Exceptions are useful in cases where adjustments are needed for special circumstances, such as unexpected time off, shift swaps, or changes in availability, ensuring flexibility and accurate tracking.

To create an exception:

  • Click on the day tile with the active schedule that requires changes.
  • Check the "Exception" checkbox.
  • Provide the date until which the exception will apply and select the desired schedule.

Once assigned, exceptions are highlighted with a different background color, making them easily distinguishable from the employee’s regular schedule. You can remove an exception in the same modal by clicking the "Bin" button.

Note: Schedules and exceptions in the past cannot be removed.
