Time tracking
As part of the Projects management functionality, there is a time tracking feature accessible via Work Time tab for all users. Employees can record their time daily across multiple projects, with time tracked for detailed monitoring and invoicing. Managers have the ability to review time logged by other employees directly from the calendar view within the Work Time page. If the Holiday Management module is active for your organization, all approved holidays will be seamlessly integrated into the calendar view. Additionally, bank holidays will automatically appear in the calendar.
Employees
Employees without specific roles assigned will have limited access, allowing them only to log their working hours on assigned projects and review their previously logged time. This ensures accurate time management and accountability for all team members involved in the project.
When navigating to the Work Time page, employees will see a calendar view for the current month. They have the ability to add one or multiple time entries per day, ensuring precise tracking of their work hours for each assigned project.
To Create a New Time Entry:
- Navigate to the Work Time item from the main menu.
- Click on the Add entry button located in each calendar day cell.
- Select Project: Choose a project/phase from the list of projects assigned to the user.
Note: If an employee is assigned to a parent project, all associated child projects will also be available for selection.
- Enter Time Spent: Provide the amount of time spent on the project.
- Add Description: Write a description of at least 32 characters detailing the work done, or simply include links to the tickets you’ve been working on.
- Save the Entry: Click save to add the entry to the calendar.
Once saved, the entry will appear in the selected calendar cell. Users can add multiple entries per one day (no more than 24 hours total). Additionally, users have the flexibility to log time with minute-level precision. While the dropdown menu allows selection in 15-minute intervals, users can manually enter specific durations, such as 22 or 57 minutes, as needed.
If you need to view the details of a logged period, simply hover your cursor over the time entry. All time entry details will appear, as well as the possibility to edit/remove the time entry.
Below the calendar, there is a bar displaying a summary of current information: "Planned hours" (total time planned for the month, excluding bank holidays and weekends), "Holidays" (total approved holiday time for the current month), "To be filled" (time expected to be filled by the end of the month), and "Logged hours" (time already logged up to now). Once the sum of "Logged hours" and "Holidays" exceeds the "Planned hours" value, then "To be filled" changes to "Overtime" and is highlighted in red.
