Overview
The Agreements module in Flowtly provides a comprehensive solution for managing all types of agreements within your organization. From employment contracts to b2b, this module ensures that all your agreements are organized, accessible, and secure.
Key Features
- Agreements Management: Create and maintain different types of agreement. Set up different job sizes (different FTE values than the standard 40 hours per week) for employees, and automatically calculate leave balances based on their job size to ensure fair and accurate leave management. -** Work Schedules**:
- Functionality to create, edit, and manage work schedules and schedule ranges. This includes setting specific working hours or shifts for different periods. Possibility to create schedules for standard work week (Mon-Sun), or independently from the day of the week.
- Employee Scheduling Planner: A tool for assigning and managing schedules for employees. This planner helps in visualizing and organizing work shifts and schedules. Schedules can be planned for the future, with exceptions allowed (e.g. one exceptional shift needs to be set up to different employee)
- Time Tracking Integration: Offers a specialized view in the Work Time interface to reflect the employee’s specific work schedule together with possibility to log time worked. This helps in accurately tracking hours worked based on the predefined schedules (works only if Projects module active).
- Document Management: Allows uploading and managing files related to agreements. This can include contracts, policy documents, or any other relevant files needed for reference or compliance.
- Agreement Status Monitoring: A widget in the dashboard that displays a list of agreements with "wrong" or problematic statuses. This helps in quickly identifying and addressing any issues with agreements that need attention.
- Roles Configuration: Manage different positions within the organization, including assigning roles to employees and defining the requirements and expectations associated with each position.
- Automated Reminders: Notifications for key dates such as renewals, expirations, or review deadlines to ensure no agreement is overlooked.
- Job Size-Based Leave Balance Calculation: Set up different job sizes for employees, check automatically calculated FTE. Leave balances will be automatically calculated based on employees job size to ensure fair and accurate leave management.
User Roles and Access Options (Agreements)
- ROLE_ADMIN: Grants full administrative access to all system functionalities.
- ROLE_AGREEMENTS_MANAGER: Responsible for overseeing and managing all aspects of agreements within the organization. This role includes creating, editing, and maintaining agreements, managing employee positions, creating and managing schedules and schedule ranges. Additionally, this role involves maintaining holiday limits. This is parent role for: ROLE_AGREEMENTS_UPLOADER, ROLE_SCHEDULES_MANAGER, ROLE_POSITIONS_MANAGER, ROLE_EMPLOYEES_VIEWER.
- ROLE_AGREEMENTS_UPLOADER: This role allows users to upload attachments related to agreements. This feature may not function as expected if issues arise.
- ROLE_SCHEDULES_MANAGER: This role allows creating schedules with schedule ranges and plan them for employees.
- ROLE_POSITIONS_MANAGER: Oversees the creation and management of job positions within the organization. This feature may not function as expected if issues arise.
- ROLE_EMPLOYEES_VIEWER: This role provides read-only access to employee profiles.
- ROLE_DOCUMENTS_MANAGER: This role allows managing and maintaining all organizational documents. This role includes creating, editing, and organizing documents within the system, ensuring that all documents are properly categorized and stored.
