Employee Agreements

Agreements are the foundation of the employees module. Depending on whether the employee has an active agreement, he or she will be visible or not in other system modules.

Variants of agreements

At Flowtly, we handle four main variants of contracts:

  • Employment Contract (uop)
  • Freelance service contract (uz)
  • Contract for specific work (uod)
  • B2B Contract

For each variant, you can configure the settlement period in terms of hours, days, weeks, or months. For example, in the case of Contract for specific work, an hourly rate can be configured, whereas for employment contracts, monthly settlements should be configured. Employee positions can be defined in the organization's settings under the Positions tile.

Add an Agreement

To activate an Employee, he or she should have an active agreement present.

To add an Agreement follow these steps:

  1. Navigate to the Employee item in the main menu.
  2. Click on the "Edit" button to the employee you wish to add an agreement to.
  3. Click on the Agreements tab.
  4. Click on the Add agreement button.
  5. Provide necessary information:
    • Position (can be defined in the organization's settings under the Positions tile)
    • Type (Agreement, Annex, Termination, List of Intent, Work Experience)
    • Variant (B2B, Employment contract, Contract for specific work, Freelance service contract)
    • Start date
    • Job size
    • Weekly working time
    • Amount (plus currency)
  6. Click the "Create" button to finish agreement creation.

When progress is saved, you'll have the option to attach a file to the agreement. All information related to agreements will be displayed within the Employees panel, making it easy to access and manage the agreements associated with each employee.

Agreement Status

The status of an agreement is determined by its dates and the presence of an attached file. Each employee on the list will have a badge displayed next to their name, indicating the current status of their agreement.

Statuses:

  • Active: The agreement is considered active when the start date has passed, the end date is either in the future or undefined, and a file has been uploaded.

  • Finishing: The agreement is nearing its end, with the end date falling within the next 20 days.

  • File Missing: The agreement's dates indicate it should be active, but no file has been uploaded.

  • No Active Agreement: The agreement is not currently active because the dates do not match the current date.

  • Not Started: The agreement's start date is in the future, so it has not yet begun.

These statuses provide a clear and immediate overview of the state of each employee's agreement, ensuring that all necessary documents are up-to-date and readily available.

Uploading scans of agreement

For archiving purposes and the possibility of viewing the documentation, e.g. by an accountant, a physically signed document can be uploaded to the system by editing a particular agreement.
