Overview

The Employees module in Flowtly provides comprehensive tools for managing all aspects of employee information and roles within an organization. This section serves as a hub where managers and administrators can perform basic employee management tasks, including adding new employees, updating existing profiles, assigning roles and permissions, adding agreements, and managing employee benefits.

Key Features

Centralized Employee Database

Flowtly's Employees functionality provides a centralized database where all employee information is stored. This ensures that data is easily accessible and can be updated in real-time, improving the efficiency and accuracy of your HR processes.

Managing Employees

This feature is essential for starting work with Flowtly BMS. Newly created employees are listed as inactive until an active agreement is added.

Note: The active/inactive lists and agreements feature are available only if the Agreement module is active. Otherwise, there will be a single list of employees without the option to add agreements.

Employee entity and Organization member are not the same. As an organization administrator you can add many Employees but without possibility to login by them to the system. Only organization members will be included on your bill in subscription.

To enable an employee to log in to Flowtly, they must be added to the system by sending an invitation to their email inbox.

Flowtly allows you to keep employee profiles up-to-date with ease. Managers can update personal information, contact details, and additional fields such as emergency contacts, qualifications, and more. Keeping employee profiles current ensures that all necessary information is readily available when needed.

Assigning Roles and Permissions

In the "Permissions" tab, assign various permissions to each employee. These permissions define the actions an employee can perform within the system, ensuring that each person has the appropriate level of access based on their responsibilities.

Annual leave

The Annual Leave feature in Flowtly allows managers to set and manage annual leave for single employee, ensuring clear communication and efficient leave management. This functionality enables the configuration of individual annual leave settings that override the organization-wide settings, providing flexibility to accommodate various agreement variants and holiday types.

Agreements

Flowtly simplifies the process of managing employee agreements. You can add new agreements, update existing ones, and keep track of the terms and conditions of employment. This ensures that all contractual information is well-documented and easily accessible.

Documents

For each employee, you have the ability to catalog documents related to their employment. During employment, you can add important documents such as NDAs, employment certificates and more. These collected documents are stored in a centralized location, ensuring quick and easy access when needed.

Rates

The Rates feature allows managers to set and manage specific rates for employees assigned to different projects. This functionality provides accurate and up-to-date compensation information by allowing different rates to be defined based on projects and performance dates. Employees can have multiple rates for the same project, with the system ensuring that date overlaps are managed, thus facilitating precise financial planning and budgeting.

Managing Employee Benefits

The Benefits functionality allows you to manage additional employee benefits. You can add and update benefits such as health insurance, sport loyalty cards and other perks, ensuring that employees are well-informed about their entitlements.
